What a Garage Invoice Must Include: HMRC's VAT Invoice Rules for UK Garages

23 October 20266 min read

Most garage invoices are written in a hurry with the customer waiting at the counter. That's fine until a fleet customer's accountant rejects one, or HMRC asks to see your records. If you're VAT registered, your invoices have to meet a short list of rules. Here they are in plain English, taken from HMRC's VAT guide (Notice 700, section 16).

When you have to issue a VAT invoice

  • If you sell to a VAT-registered customer, such as a fleet or a trade customer, you must give them a VAT invoice.
  • For private customers there's no legal requirement, but give a VAT invoice to anyone who asks, because you often can't tell whether they're VAT registered.
  • You should normally issue the VAT invoice within 30 days of the tax point. For most garage work that's when the job is done, or earlier if you invoice or get paid first.
  • If you're not VAT registered (turnover below the £90,000 threshold and not registered voluntarily), you can't issue a VAT invoice or charge VAT. Your invoices simply show the price.

What a full VAT invoice must show

HMRC's list of required details is longer than most people expect. Every full VAT invoice must include:

  • A unique invoice number that follows on from the last one.
  • The date of the work (the tax point), and the issue date if it's different.
  • Your garage's name, address and VAT registration number.
  • Your customer's name and address.
  • A description of the work and parts clear enough to identify them, for example 'Front brake pads, Ford Focus AB12 CDE'.
  • For each line, the quantity or hours, the VAT rate and the price excluding VAT.
  • The total excluding VAT.
  • The rate of any cash discount you offer.
  • The total VAT, in sterling.
Fleet and trade customers can only reclaim the VAT if your invoice is a proper VAT invoice. If your VAT number or the invoice number is missing, expect it to come back.

Simplified invoices for jobs up to £250

If the total is £250 or less and the customer agrees, you can issue a simplified VAT invoice with fewer details. It's handy for quick jobs like a bulb or a wiper blade. Most garage software produces a full VAT invoice every time, which is always acceptable.

Quotes, estimates and pro formas

A quote, estimate or pro forma isn't a VAT invoice and shouldn't look like one. Mark it 'This is not a VAT invoice' and leave off the invoice number. That way you can change it as often as you need to before the work is finished, without breaking the numbering rules.

How to correct a mistake

Once you've issued a VAT invoice, don't edit it, delete it or reuse its number. HMRC expects the original to stay as it was sent. Instead:

  • If you overcharged or the customer is due a refund, issue a credit note.
  • If you undercharged or did extra work, issue an additional invoice.
  • Either way, the new document must refer to the original invoice's number and date.

MOTs on the same invoice

If you're an approved test centre, the MOT fee is usually outside the scope of VAT. It goes on its own line with no VAT, while the parts and labour carry VAT as normal. We explain this in detail, with an example invoice, in our guide to VAT on MOT fees.

Read how HMRC treats the MOT fee, including MOTs you arrange at another test centre.

Keeping your records

VAT-registered businesses must keep VAT records, including copies of the invoices they issue, for at least 6 years. Under Making Tax Digital, the records have to be kept digitally and VAT returns filed through compatible software. A carrier bag of carbon copies won't do.

This is general guidance based on HMRC's VAT Notice 700 as at October 2026, not tax advice. Your accountant can confirm anything specific to your garage.

Totalsoft Garage Manager numbers every invoice in order, shows your VAT number and all of HMRC's required details, marks drafts as pro formas, and corrects mistakes with a credit note rather than editing the original. Invoices go straight to Xero.
